How NDIS fees work at Intracare

NDIS fees are not based solely on the face-to-face time spent with your clinician. A complete session includes preparation before your appointment, clinical documentation and reporting, and - where applicable - travel time.

All components are permitted under the NDIS Price Arrangements and are essential to delivering safe, high-quality therapy. Your fees will always be explained in your Service Agreement before services commence.

Depending on the service, fees may include:

• Direct therapy time (face-to-face or telehealth)
• Preparation and planning (minimum times increase with session length - see tables below)
• Clinical documentation and progress notes (minimum times increase with session length - see tables below)
• Reports, letters, and professional communication (where applicable)
• Travel, where therapy is delivered outside our clinic

Session length and minimum booking requirements

Session length depends on where therapy is delivered and the travel distance involved, and is agreed with you in advance. Minimum session lengths apply for home, community, and school-based appointments - see the service zones table below for detail.

Clinic-based sessions Can be booked from 45 minutes of face-to-face time. Please note this session length is only available for clinic-based appointments. Shorter sessions reduce total cost but may limit the depth of intervention achievable in a single visit.

Home, community and school-based sessions are subject to minimum session lengths that increase with travel distance. When Intracare travels to see you, the minimum session length reflects our commitment to spending that time meaningfully - in therapy, or following up on actions from the session. This leads to better clinical outcomes and ensures every visit is purposeful.

Indirect services (non-face-to-face)

You may occasionally see additional items on your invoice beyond the session itself. These represent clinical work completed outside of session time that directly supports your therapy. Indirect services are permitted under the NDIS and will always be discussed with you beforehand.

• Preparation and planning before a session
• Progress notes and session documentation
• Mandatory NDIS reports (e.g. AT applications, therapy plans, funding summaries)
• Client-requested reports and letters
• Professional communication with your support team, coordinator, or other providers
• Assistive technology coordination and follow-up
• Tailored therapy resource development

Preparation and progress notes are billed as standard components of every session. The time spent on preparation and clinical note writing increases with session length, as longer sessions require more content to prepare for and clinical documentation. As a guide, you can expect the following: 10 minutes preparation and 10 minutes clinical notes for a 45-minute session; 15 minutes each for a 1-hour session; 20 minutes each for a 1 hour 30 minute or 1 hour 45 minute session; and 25 minutes each for a 2-hour session. If actual time exceeds these guide times, actual time is charged instead.

Travel

Where therapy is delivered outside of our clinic, travel is billed in line with NDIS pricing arrangements.

Travel time is based on actual travel on the day, from the clinician's departure point - not from the nearest base or a fixed office location. This means the travel time charged reflects what was actually travelled, which can work in your favour if you live further from our Bibra Lake office than your clinician's starting point on a given day.

We also offer in-clinic appointments with no travel component. Participants who prefer no travel billing are always welcome to attend our clinic. If you'd like to minimise travel charges, speak with your allocated clinician directly about which days they are already in your local area - we'll always try to coordinate where we can.

Insurance Commission of WA (ICWA)

Intracare Services accepts referrals from the Insurance Commission of Western Australia (ICWA) for participants with catastrophic or motor injury claims.

Our ICWA fees are set in line with the relevant WorkCover WA and ICWA fee schedules for allied health services, which are subject to periodic updates. Indicative rates are listed below - current rates will always be confirmed at the time of referral.
